Contracts and invoices need different checks
A freelance contract records an agreement; an invoice usually requests payment for specified work. Do not assume that every invoice requires a signature or that signing an invoice creates the same obligations as signing a services agreement.
Ask what the client needs the signature to confirm. It may be approval, receipt or completion. Check their accounting or procurement instructions, especially when a portal requires a particular document format or reference number.
Review the final document
For a contract, confirm scope, deliverables, payment timing, revision limits, ownership provisions, cancellation and party names. Resolve blanks or contradictory terms before signing. For an invoice, check recipient details, invoice number, dates, line items, totals, currency and the authorized payment information.
If payment details changed unexpectedly, verify them through a known channel. A neat signature cannot make fraudulent instructions trustworthy. Use a document version both parties recognize instead of signing whichever attachment appears latest in a long thread.
Add an accepted visual signature
- Save the complete final PDF or supported source file.
- Open Way2Sign and select the document.
- Choose Draw, Type or Upload in Signature Studio.
- Create your signature and place it in the field intended for you.
- Add printed name, title, date or reference text if requested.
- Download the completed copy and check its details independently.
- Return it through the client's agreed channel and retain the final copy.
If the source is DOCX, Way2Sign exports a signed PDF. Review tables, page breaks and totals after conversion. If the client requires an editable Word file, agree on the return format before using this workflow.
Keep signature and approval wording separate
Avoid adding statements such as “paid” or “approved” unless that is the intended action and you have authority to make it. A signature line, printed name and date should remain distinct when the form provides separate fields.
The date you enter is not a trusted timestamp. If the client requires a certified approval record or identity checks, use their managed service rather than substituting a basic file overlay.
Return the actual document
Send the exported PDF, not a screenshot of the signing screen. Use a clear filename and identify the contract or invoice number in the message. Keep a record of the version sent and any acknowledgment. Do not assume a visual signer tracks whether the client has countersigned.
Know when stronger execution is needed
“Digitally” in everyday language can mean simply signing online. Way2Sign provides visual electronic signatures, not cryptographic signing certificates, notarization or certified identity verification. For consequential agreements, read what makes a signature valid and obtain appropriate advice about your transaction.
Common questions
Does every invoice need a signature?
No universal rule applies. Follow the client’s requirements and the applicable invoicing rules.
Can I sign a freelance contract sent as Word?
Way2Sign supports DOCX input and PDF export. Confirm the return format and inspect the converted layout.
Will the tool track my client’s countersignature?
Way2Sign does not provide a managed recipient-signing workflow. Coordinate completion separately.
