How to Add a Watermark to a PDF: Text, Logos and Selected Pages

Start with the purpose of the watermark

A watermark can identify a draft, show a company logo or mark a copy for review. Decide what the label should communicate before adding it. Clear wording such as DRAFT or REVIEW COPY is often more useful than a decorative mark that makes the page harder to read. Choose a label the recipient will understand without a separate explanation.

Keep your original PDF so you can return to it later. Only watermark a document you are authorized to change. Adding a logo does not establish ownership, and a visible label does not prove that a document is authentic. If an organization requires a specific version or an unchanged signed file, follow its instructions before modifying it.

Choose your file and inspect it

  1. Open Watermark PDF in Way2Sign Free Tools.
  2. Select an unprotected PDF from your device.
  3. Check the selected filename, size and first-page thumbnail.
  4. Choose Text or Image / logo as the watermark type.
  5. Adjust the controls and inspect the watermarked-page preview.

The selected-file thumbnail shows your original input. The larger watermark canvas shows the proposed output for the first page in your chosen range. When a document has different page sizes, inspect the downloaded results on every relevant page rather than relying on the first preview alone.

Create a text watermark

Text mode starts with DRAFT. Replace that wording with the label you need, choose the text size and pick a color. The watermark can be diagonal, horizontal or reverse diagonal. Position it at the center, top or bottom of the page.

Text is scaled down when needed to fit the page. A long label can therefore look smaller than a short one using the same size setting. Keep the wording concise and review the preview. The text input supports common Latin characters; for other writing, prepare it as an image and choose the logo mode instead.

Opacity controls how strongly the mark appears. A faint watermark can leave the document readable while signaling its status. A darker one is easier to notice but can obscure fine print or a signature. Check both the watermark and the underlying content at normal reading size before sharing the result.

Add a logo or image

Choose Image / logo and upload a PNG, JPG or WebP file. The selected logo name appears below the controls. Adjust its width as a percentage of the page, then set opacity, angle and position. The tool preserves the image's proportions rather than stretching it to fill a box.

A PNG or WebP with transparency can avoid placing a solid background rectangle over the document. JPG images have no transparency, so their background becomes part of the watermark. Choose a clear image with appropriate contrast. A large source image is not always necessary for a small, faint watermark; the tool prepares a bounded version for the PDF.

Apply the mark to specific pages

Leave Pages empty to watermark the entire PDF. For a subset, enter individual numbers or ranges, such as 1,3-5. This selects page one and pages three through five. The preview identifies which page it shows and how many pages will receive the watermark.

Page numbers refer to their position in the PDF, not necessarily a printed page label inside the document. Confirm the intended pages when covers, appendices or existing numbering could cause confusion. Invalid numbers and reversed ranges show an error instead of silently watermarking the wrong pages.

Save and check the output

Choose Create watermarked PDF, wait for the completed result and then select Download. Open the saved PDF and inspect the watermark on all selected pages. Check that excluded pages remain unchanged and that rotated pages remain correctly oriented. Review readability, logo edges and any important fields or signatures.

Watermark PDF adds content without flattening the original pages. It is separate from replacing original text in the PDF editor, which does flatten affected pages. A watermark does not encrypt the file, prevent copying or securely remove information. Use Password protect PDF when you need a password, and use a suitable redaction workflow for confidential content that must be removed. Processing and previews stay on your device.

Common questions

Does a watermark protect a PDF from copying?

No. It is a visible label, not encryption, access control or proof of authenticity.

Can I watermark only a few pages?

Yes. Enter page numbers or ranges, such as 1,3-5. Leave the field empty for all pages.

Will the original PDF text become an image?

Watermark PDF adds text or an image without flattening the original pages. Existing searchable text is preserved.
